To add a signature image to a PDF, prepare a clear image of a signature you are authorized to use, open the PDF in an editor with an image or signature tool, insert the file, position it, and save a new copy. Uploading and pasting a signature are not the same as applying a certificate-based digital signature: an image is visible artwork and can be copied or reused by anyone who obtains it.

Add a signature image with Sign PDF Document

Sign PDF Document is built for this workflow in Chrome. Upload a PNG, JPEG, or WebP signature image, place it on the page, and adjust its size and rotation without distorting it. You can then add a date, typed name, address, stamp, or note, review every page, and download or print the completed PDF. The app processes the document locally on your device and does not require an account.

Use it for a visible signature image when the recipient accepts that method. It does not turn an image into a certificate-based digital signature.

Prepare a clean signature image

  1. Sign your name on plain, unlined white paper with dark ink. Leave enough space around the strokes.
  2. Photograph or scan the page in even light. Avoid shadows, folds, and camera angles that distort the writing.
  3. Crop close to the signature without cutting off any strokes. Straighten the image if needed.
  4. Save it in a common format such as PNG or JPEG. A transparent PNG can sit cleanly on a document, but check for rough edges and missing strokes.
  5. Preview the image on a white page and at the approximate size you will use. If the lines look pixelated or too faint, capture it again at higher quality.
  6. Store the file somewhere private. Do not place it in a public folder or share link.

Use your own signature image or one you have explicit permission to apply. Do not copy another person’s signature from a document or use it to imply that they approved something.

Upload or insert the signature into a PDF

The exact button depends on the PDF editor. Look for Add image, Insert image, Import signature, or a dedicated Sign tool.

  1. Open the PDF and choose the image or signature command.
  2. Select the PNG or JPEG file. If the editor offers a crop tool, remove extra transparent or white space around the signature.
  3. Drag the image into the correct signature area. Resize from a corner to keep the proportions; avoid stretching it wide or tall.
  4. Zoom in and confirm the signature does not cover the printed name, date, terms, or another person’s field.
  5. Save or export a new PDF copy, then close and reopen it. Check all pages and make sure the signature is still visible.

Copy and paste a signature into a PDF

Copy and paste can work when the source app puts the actual image on the clipboard and the PDF editor accepts image data. Copying an image preview, a file name, or text that looks like a signature may not copy the picture.

  1. Open the signature image and choose Copy image (or use the selection tool to copy the image itself).
  2. Click the target page in the PDF editor and use Paste.
  3. If nothing appears, or the image is inserted at the wrong size, undo the action and use the editor’s Add image or Import command instead.
  4. Position, resize, save a separate copy, and reopen it to verify the result.

Improve placement and readability

  • Use a dark signature on a light background with enough contrast to print clearly.
  • Keep the image close to the size of a handwritten signature; oversized marks can obscure the form.
  • Preserve the original aspect ratio when resizing so the writing does not look distorted.
  • Check the image at normal page size and in print preview if the recipient will print it.
  • Avoid placing the image over an interactive field if doing so prevents the form from being completed.
  • If the PDF has multiple pages, confirm the signature is on the requested page and that you did not duplicate it.

Protect your signature image

A signature image is easy to reuse once copied. Keep the source in a private location, limit who can access it, and remove temporary copies from shared computers or folders. Before using an online editor, check whether it uploads the PDF and how it handles documents. If the PDF is confidential, use an approved local or organization-managed tool.

An image does not by itself prove who applied it, when it was applied, or whether the PDF changed afterward. If the recipient needs signer identity or tamper evidence, ask which certificate-based or managed e-signature workflow is accepted. See how certificate-based digital signatures work.

Common questions

Can I upload a PNG signature to a PDF?

Yes, when the PDF editor supports adding images or importing signatures. PNG is useful when you want a transparent background, but inspect the edges and readability after saving.

Why does copy and paste not work?

The clipboard may not contain the image itself, or the PDF app may not accept image data from the source. Use Add image or Import signature if available.

Is an uploaded signature image legally valid?

Acceptance depends on the document, recipient, and applicable rules. An image alone does not provide cryptographic verification. Ask the recipient what type they require.

Can I reuse the same image for every document?

Only when you are authorized to sign each document that way and the recipient accepts it. Treat the image like a sensitive credential and review every document before applying it.
